Companies & Contacts

Companies overview

The companies list is accessed by pressing the companies button on the menu on the left hand side of the page.

This page shows a list of all companies in the database. You can quickly filter between 'Tenants', 'Landlords' and 'Landlords Agents' by using the buttons at the top of the list.

The system determines if a company is a Tenant/Landlord/Landlords agent, if that company or a contact has been set as a Tenant/Landlord/Landlords Agent for a property or scheme.

Creating/editing companies

When creating a company, the domain field is important. A companies domain name is everything after the @ in an email address, or the companies website address (excluding the www or anything before the name). For example, the email address jon@newcompany.com has a domain name of newcompany.com.

If you add the domain name for the company when creating the company, the system will then automatically add any users with an email address @newcompany.com to this company.

This not only speeds things up when adding contacts, but it also helps to keep your contacts more organised and up to date.

You can delete a company by clicking on the bin icon on the Companies list page. If you delete a Company, then all contacts for that Company will also be deleted.

Merging companies

If you have duplicate companies in the database, you can merge companies data by clicking on the 'Merge' button on the companies list page.

On the form that is displayed:

  • The Original Company is the company which the data from the other companies will be imported to.
  • The Companies for merge field, you can add the companies from which you wish to import the data from.

Using the checkboxes below, you can choose which data you wish to import that you have added.

  • Merge contacts - if selected, this will import contacts from the Companies for merge field
  • Merge properties - if selected, for any properties that the Companies for merge company is set as the tenant, it will set the Original Company as the tenant.
  • Merge schemes - if selected, for any properties that the Companies for merge is set as the landlords or landlords agent, it will set the Original Company as the landlord or landlords agent.
  • Remove merged companies - if selected, once the merge has completed, the system will automatically delete the Companies for merge.

Companies Requirements

You can view and edit property requirements for a Company from the edit Company page.

To add towns to the requirements list, press the create button above the requirements table.

Add the minimum and maximum sizes and then add the town in the Location field below.

If you want to quickly add multiple towns at the same time, make sure the checkbox 'Save and create new on location updated' is checked. Now when a town is added, the Location field is immediately ready to add the next town town.

Contacts list

The contacts list can be accessed using the main menu on the left hand side of the page.

Creating/editing contacts

You can create a new contact by pressing the Create contact button which is located at the top of every page.

You can also create a new contact by clicking the Create button at the top right of the contacts list on the contacts page.

This opens a form where you can add the contacts details.

A contact must belong to a company.

If a companies domain has been added to the company, then RPD will automatically fill in the Company when you enter the Contacts email address.
